Job Description:
Position Summary This Personal/Office Assistant position
supports the CEO as well as the company by maintaining office
systems and assigning and monitoring clerical functions and well as
organizing the day-to-day activities of the CEO. This position
plays a key role in supporting the administrative needs of the
various departments of our team i.e. Sales, Marketing, Finance &
Operations and will also be providing personal assistance and
organization to the CEO. Position Requirements Ability to
multi-task while managing phone & reception Well organized and
detail oriented Mature, professional & positive presence
representative of company image Good written and verbal
communication skills Fluent in MS Office, Internet and various web
applications and ability to learn proprietary systems Teamwork &
communication skills essential Strong sense of job ownership
Specific Responsibilities Provide administrative support to
multiple team members, including the Company Executive Work on
projects and tasks with CEO Maintain CEO Business and Personal
Calendar Serve as liaison between CEO and different departments
Send CEO correspondence as required Data Entry and Maintenance of
Vendor/Supplier Portals and Prims Light Marketing Example monthly
Newsletter, promotional mailings, etc Organizing office operations
and procedures Greeting guests and visitors Handling multiple
phones lines and direct calls to appropriate extensions and
voicemails Controlling and coordinating the mailings of all
interdepartmental documents and company correspondence Scheduling
meetings and travel plans Receiving & distributing company mailings
Updating and maintaining company contact management
software/database Designing filing system File, fax and photocopy
Manage office supply inventory and ordering Maintain and upkeep
office equipment i.e. copier, fax machine, postage machine, etc.
Create documents, spreadsheets and reports as needed (i.e. Daily,
Weekly, Monthly, etc) Update and maintain company contact
management software/database Reconciling various invoices; i.e.
UPS, FedEx Most importantly, must make sure to follow up!
Employment Type: Full Time Years Experience: 3 - 5 years Salary:
$20 - $25 Hourly Bonus/Commission: No
